Registration

  • Any request to participate in one of DEKODE's activities is made exclusively online.
  • DEKODE reserves the right to refuse a request without having to justify the reasons.
  • A participation request does not represent a confirmed and final registration.
  • Depending on the number of participation requests and available places, places will be allocated on a first-come, first-served basis.
  • No payment is required when requesting participation in one of DEKODE's activities.
  • If a participation request is made for an activity that no longer has available places, registration on the waiting list for a future session will be offered.
  • In case of insufficient registrations or for any other reason, DEKODE reserves the right to cancel the activity. In such case, registration fees paid in advance for participation in the activity will be fully refunded.

Registration validity

  • A registration request becomes a final registration once the payment for the activity has been received by DEKODE.
  • Participation fees are generally not refundable. However, the following force majeure cases give the right to a refund, pro rata from the date of the request to the start date of the activity:
    • relocation abroad,
    • death,
    • hospitalization or prolonged illness,
    • natural disaster,
    • pandemic,
    • other reasons not listed that DEKODE will examine on a case-by-case basis.
  • In case of a refund, it will be made by the same payment method used for registration.
  • Refund requests must be addressed to DEKODE in writing and accompanied by the necessary supporting documents.

Access to the activity

  • The room where the activity takes place is only accessible to participants of the activity, under the supervision of DEKODE staff.
  • Participants arrival and departure generally takes place in front of the building where the activity is held, unless specific instructions are provided when confirming participation.
  • Participation in the workshop is exclusively reserved for participants whose registration fees have been paid, according to the payment terms indicated in the acknowledgment of receipt of a registration request.

Cancellation and absences

  • DEKODE ensures that activities run according to the scheduled times. However, in case a DEKODE teacher is unable to lead a session - and in the exceptional case where a replacement would not be possible - the activity may be postponed. If this activity cannot be rescheduled, it will be cancelled. Participation fees will then be refunded pro rata.
  • Participants are notified of any cancellations by email.
  • Participants are asked to notify DEKODE of any absences by email.
  • Absence from part of the activity does not entitle to a refund.

Rules of conduct

  • The Participant must respect DEKODE staff, other participants, the equipment provided, and the rules of conduct communicated by the DEKODE teacher.
  • The Participant agrees to show kindness and respect for diversity and inclusion. DEKODE will not tolerate any form of discrimination.
  • Any act of violence, physical or verbal, and more generally any breach of the above rules will result in temporary or permanent exclusion from workshops, without right to a refund.

Insurance and liability

  • DEKODE strongly encourages participants to have liability insurance.
  • Property and personal insurance is the responsibility of the participants. DEKODE disclaims all responsibility in case of accident, injury, damage, or theft. Participants are invited not to bring unnecessary valuable objects. DEKODE cannot be held responsible in case of theft or damage to these objects.
  • The mental or physical health of participants may be subject to specific arrangements by DEKODE if the smooth running of the activity depends on it.
  • The participant is responsible for damage they have caused, intentionally or through negligence, to others' equipment. In case of damage to premises, DEKODE equipment, or that of other participants, as well as any other damaging act, the repair of the harm will be at the financial expense of the participant and/or legal representative.
  • Any illness, allergy, or special diet related to a participant's health problem must be reported when registering for an activity.
  • In case of contagious disease, the participant is excluded from activities until complete recovery. Any negligence in reporting a case of contagion is liable to permanent exclusion of the participant from workshops, without refund.

Specific provisions for minors

  • No minor participant may leave activities alone without written confirmation from a parent or legal guardian.
  • Persons authorized to pick up a minor participant must appear in the child's information form; in particular, their identity and contact details must be indicated. To ensure the safety of minor participants, DEKODE staff must be able to visually identify the authorized person. Depending on the situation, DEKODE staff reserves the right to request identification.
  • Picking up a minor participant must take place no later than 15 minutes after the end of the activity. In case of repeated delays, the minor participant may be excluded from activities.
  • In case of inability to entrust the minor participant to an authorized person at the end of an activity, the participant may be entrusted to police services. The costs incurred by the temporary custody of the minor participant will be at the financial expense of the parents.
  • The taking of medication by a minor participant under treatment must be ensured by a parent or legal guardian and, as far as possible, outside the activity hours. In case of imperative medication administration during an activity, the minor participant must have written authorization from a parent or legal guardian, given to DEKODE at the latest at the start of an activity. Only medications prescribed by a doctor and accompanied by a prescription specifying the dosage may be administered.
  • In case of accident, DEKODE staff will provide necessary first aid and contact emergency services if needed.
  • If the minor participant is sick or injured during an activity, a parent or legal guardian will be contacted. They must organize, as soon as possible, care for the participant to relieve DEKODE.
  • DEKODE commits not to take any photos or videos during activities without first requesting authorization from a parent or legal guardian.

Confidentiality

  • Any information, written or oral, of a private nature and exchanged within the framework of activity registrations is treated in a strictly confidential manner. The data collected will in no case be used for purposes other than the management of activities nor transmitted to third parties.
  • At any time, the participant can access the data, correct it, or request its deletion.

Image rights

  • Unless otherwise indicated by the participant, DEKODE reserves the right to capture photos or videos of participants during activities.

Validity and legal jurisdiction

  • The participant accepts, without reservation, these rules upon confirmation of participation in an activity organized by DEKODE.
  • DEKODE reserves the right to modify the rules at any time. For ongoing activities, participants remain subject to the version in force at the time of their registration.
  • Participants will be informed of any modification to the rules, with a deadline to allow them to comply with the new rules.
  • In case of dispute, Swiss law alone is applicable and the legal jurisdiction is in Geneva.
